What a working with children register usually records
If your club, studio, school or tutoring business has staff or volunteers who work with children, a simple register helps you show that the right checks are in place and still current. Most organisations record the same handful of details for each person:
- Person and role: full name, and whether they are an employee, volunteer, contractor or committee member.
- Check type: the check issued by the state or territory where the person works (see the table below).
- Card or registration number: so the check can be looked up again.
- Status: for example current, applied and pending, renewal lodged, expired, or suspended and cancelled.
- Expiry date: this is the date that should drive your follow-up.
- Date sighted or verified: when you confirmed the check, and who confirmed it.
Each state and territory runs its own scheme, with its own rules about who needs a check, how long it lasts and how an organisation confirms it. The official screening portal for your state is always the authoritative source, and a register is only a record of what you found there. Read your own state's guidance, for example the Queensland Government's blue card information for organisations or the NSW Office of the Children's Guardian Working With Children Check pages. This page is a record-keeping aid, not legal advice.

Frequently asked questions
Is this register a substitute for the official check?
No. The official state or territory screening portal is the authoritative source for whether a person's check is valid. The register records what you found there and reminds you of the dates.
Does my state use the name "Blue Card"?
Only Queensland calls it a Blue Card. Other states and territories use names such as Working With Children Check, Working with Vulnerable People registration or Ochre Card. The table above lists the names the template uses.
Can I import this file into CheckRegister later?
Yes. The columns match the CheckRegister importer exactly. Choose the date format that looks like 2026-12-31 when you upload it.
How often should I review the register?
Many organisations look at it monthly and chase any check that expires within the next 90 days, because renewals can take time. Your own policies and your state's rules decide what is required.
Do you store the names and dates I enter in the checker?
We don't save them in our database. The checker only calculates the result for this page, and we count that the tool was used without keeping what you typed. Avoid entering anything sensitive.
